2026 The Conroe Cajun Catfish Festival (CCCF) Exhibitor Agreement
Festival Rules
1. Exhibitors will be expected to display and sell work of the same quality and nature as that submitted for screening. CCCF retains the right to ask for removal of any objects which are distinctly inferior or offensive (controversial) to those selected. No one is allowed to solicit outside of their booth.
2. Once accepted, the applicant is committed to show. No refunds will be made for entrant withdrawal.
3. There are no rain dates and no refunds in the event of rain or other unforeseen closures, including Pandemic.
4. CCCF provides daytime & overnight security; however, entrant exhibits all work at their own risk. CCCF assumes no liability for damage, loss, or theft of any individual's work. The applicant will indemnify and hold harmless CCCF for any and all damage to property.
5. All sales will be transacted by the applicant. There are no commissions.
6. No food or beverage may be sold by exhibitors. Unless prepackaged AND approved by CCCF no later than one month PRIOR to move in.
7. Samples or other giveaways may only be given with prior approval.
8. Submission of an application to CCCF constitutes agreement on the part of the entrant to the terms and conditions set forth in this prospectus.
9. Further details and instructions will be emailed to accepted exhibitors.
10. Exhibitors are responsible for obtaining a sales tax I.D. number. A copy must be sent with your application.
11. No items, such as gun replicas, popping noise makers, drug paraphernalia, nudity or profanity are allowed.
12. Political Booths: All business done must be conducted within the confines of your booth space and subject to established non-profit guideline limitations and at the discretion of CCCF.
13. Consumption of outside alcoholic beverages is prohibited; if an exhibitor is intoxicated, they will be asked to leave and forfeit all fees.
14. Your booth fee may be transferred in the case of an unforeseen closure of the event. Under no circumstance will it be refunded.
CCCF believes in equal opportunities for all vendors, and we will actively seek fair evaluation of all applications. We do not allow personal beliefs to conflict with application consideration. In selecting participants, criteria may include items to be sold, past history, the promptness of application arrival, and event area accommodations. CCCF reserves the right to deny acceptance of any applicant for past experience or other factors that warrant exclusion.
As a participant of the CCCF, I fully understand and agree to the following:
I recognize and acknowledge that I assume full risk of any injury, property damage or loss which I may sustain as a result of my participation in any and all activities connected with or associated with my participation in CCCF. Furthermore, I understand that I should carry my own insurance (see below) and that I store my products and equipment overnight at my own risk.
Insurance Requirements for Exhibitors
All exhibitors participating in Conroe Cajun Catfish Festival are required to carry Commercial General Liability Insurance with the following minimum limits:
$1,000,000 per occurrence
$2,000,000 general aggregate
The insurance policy must:
1. Name T.F.O.C., Incorporated as Additional Insured
2. Cover all event dates, including setup and breakdown days.
3. Include a waiver of subrogation in favor of T.F.O.C., Incorporated.
4. Be issued by a company licensed to do business in the State of Texas
Certificate of Insurance (COI)
A valid Certificate of Insurance (COI) must be submitted by October 1st, 2026. The certificate must clearly indicate:
- The required coverage limits
- The dates of coverage (including move-in and move-out)
Failure to provide an approved COI by the deadline may result in forfeiture of your exhibitor space and fees.
If you do not currently have the required insurance, coverage can be arranged through our insurance provider at a competitive group rate. This option is available to approved exhibitors only.
Details and enrollment instructions will be provided upon acceptance into the festival.
I agree to waive and relinquish all claims I may have against CCCF, the City of Conroe, Montgomery County and all associated sponsors and staff of CCCF and agents thereof from any and all claims other parties may have resulting from injuries, damage, or loss caused by, arising out of, connected with, or in any way associated with the activities of the CCCF. I further agree to indemnify and hold CCCF harmless for any injuries or damage that occurs as a result of any participation in the event.
I agree to act in a professional manner towards CCCF staff & volunteers, as well as the patrons. If I do not follow this, I can be asked to leave and will forfeit my booth space and any/and all fees.
I agree and understand that if I cause any damage to a provided tent that I will be responsible for paying for the damage to the vendor that provided the tent as well as be asked to leave and will forfeit my booth space and any/and all fees.
I understand that, in the event of CCCF cancellation due to weather and/or other unforeseen issues, vendor fees will NOT be refunded.
I agree that I am responsible for the transportation, insurance, and sale of my products. I also understand that I am responsible for collecting and reporting sales tax on all transactions made during CCCF.
I agree to pay all the necessary fees set forth in this application upon acceptance by CCCF. I understand that all cancellations must be made in writing and must be postmarked or emailed no later than September 1, 2026, and that there are absolutely no refunds.
I agree to be present for all 3 days of the CCCF: Friday, October 9 through Sunday, October 11, 2026. I agree that if I have not set up by 3 pm on Friday, October 9, or if I leave the CCCF early, I forfeit my booth space and all fees. If I intend to be late on any of the 3 days, I must acknowledge this to CCCF Exhibitor Chairman or I may forfeit my booth space. I agree that all demonstrations and exhibits may be photographed for publicity purposes. I understand and will abide by the rules of this application.
I have read through the application, and I agree to abide by all rules set forth in this agreement and application package.
